At Strøm S/I, we have processes in place that ensure we can comply with requests from data subjects who wish to exercise their rights.
If your request to exercise your rights is justified, we ensure that your request is complied with without undue delay.
Right to lodge a complaint with the supervisory authority
If you, as a data subject, wish to exercise your right to lodge a complaint with the supervisory authority, this can be done by contacting the Danish Data Protection Agency (Datatilsynet). On the Datatilsynet website, it is possible to file a complaint.
3. What Do We Use Your Data For? (Processing of Personal Data)
We collect and store your data in connection with specific purposes or other legitimate interests. This is done to comply with obligations incumbent upon us as data controllers, as well as to fulfill contracts, and in connection with processing for which consent has been given.
When you use one of the following forms on our website:
Form for: Request for artist fee
The following information is processed: Event, date, name, artist name, company name, address, postal code, city, country, email address, mobile number, social security number (CPR no., for tax purposes), business registration number (CVR no.), fee amount, currency, bank name, registration number, account number, IBAN number, SWIFT number, photo of signature and date.
Processing basis: We process this information to comply with a contract pursuant to Article 6(1)(b) of the General Data Protection Regulation. Subsequently, we retain necessary information for five years pursuant to the Danish Bookkeeping Act §5 and §10.
Form for: Equipment loan
The following information is processed: Email, full name, phone number, contact person at Strøm, copy of signature (uploaded as an image).
Processing basis: We process this information in order to be able to accommodate requests for equipment loans pursuant to Article 6(1)(f) of the General Data Protection Regulation (the balancing test), and to be able to defend, pursue, or assert legal claims should damage occur to the equipment.
Form for: Registration as a volunteer for our events
The following general information is processed: Full name, email, phone number, T-shirt size, work experience, shift preferences, event preferences.
In addition, special category information is processed: information about allergens, if you have provided this.
Processing basis: We process this information to be able to accommodate requests to volunteer. Storage and processing take place on the basis of Article 6(1)(a) of the General Data Protection Regulation (consent). And for special category information (allergens), on the basis of Article 9(2)(a) of the General Data Protection Regulation (consent to processing of special categories of personal data).
Form for: Application for K101, Residencies, and other open calls
The following information is processed: Legal name, artist name (if applicable), age, gender/personal pronouns, email address, phone number, city, biographical and practice-related information provided in free-text answers, links to work you have made or been involved in making (e.g. a private SoundCloud link), preferred residency periods, possibly photo, possibly sensitive personal information.
Processing basis: We process this information in order to be able to accommodate applications for K101, Residencies, and other open calls. Storage and processing take place on the basis of Article 6(1)(a) of the General Data Protection Regulation (consent).
We delete information when we no longer have a legitimate purpose for retention, or until you withdraw your consent.
Newsletter registration and subscription
The following general information is processed: Name, email address, IP address, and statistical information.
Processing basis: We process information in connection with the newsletter on the basis of Article 6(1)(a) of the General Data Protection Regulation (consent).
You can unsubscribe from the newsletter at any time. This is done either by clicking the unsubscribe link in the email or by managing your preferences via the link in the newsletter.
To fulfill a contract
The following general information is processed: Name, phone number, and contact email.
Processing basis: We process and store this information for the fulfillment of a contract pursuant to Article 6(1)(b) of the General Data Protection Regulation (contract).
Settlement and invoicing
In connection with settlement and invoicing, payment of fees, etc., we process the same information as under “Form for: Request for artist fee,” and the legitimate processing basis is also identical to that stated under that section.

Processing basis: We store and process this information as part of any potential future collaboration. Our legitimate processing basis is pursuant to Article 6(1)(f) of the General Data Protection Regulation (the balancing test).
Participation in surveys and competitions
If you participate in surveys and competitions offered by Strøm S/I — for example, audience surveys at festivals and similar events.
The following general information is processed: Email of respondents, demographic information: gender (perceived), age group, education, postal code, satisfaction — responses are linked to email if they have chosen to participate in a competition.
We continuously update personal data when possible
We check that the personal data we process about you is not incorrect or misleading. We also ensure that your personal data is updated continuously. This happens when you inform us of changes.
Several of our services depend on the information being correct and up to date. We therefore ask you to inform us of any inaccuracies or changes in your personal data.
4. Processing Security – Organizational and Technical
We protect your personal data and have internal rules and processes regarding information security. We have implemented organizational measures and processes that protect your personal data against destruction, loss, or alteration, against unauthorized disclosure, and against unauthorized persons gaining access to or knowledge of it. Only personnel with a legitimate and relevant purpose can access personal data.

5. Retention and Deletion
We only store and process your information for as long as we have a legitimate basis for doing so.
5a) We delete information based on the following principles:
Information processed on the basis of consent is processed until consent is withdrawn, or the service for which consent was given is no longer offered. Information is deleted immediately thereafter in both cases.
In other cases, information is deleted when there is no longer an obligation to retain documentation. Information is thereafter deleted according to rules implemented by the company.
5b) Transfer to third countries
We transfer information to third countries in connection with the use of a newsletter system. Here, information is transferred on the basis of Standard Contractual Clauses.
